Google Workspace vs Free Google Tools: Why it's better to use Google Workspace for your company

Many businesses rely on Google's free services for day-to-day operations. But are they good enough for security and compliance? Learn why upgrading to Google Workspace is a smart, cost-effective move.

In recent work with Crimson Vista clients, our cybersecurity engineers have noted that many businesses are choosing to rely on Google’s free services like Gmail and Google Drive for their day-to-day operations. From the point of view of a small business owner looking to control costs, these tools seem sufficiently useful for communication and collaboration for the very low cost of “free.” But even if you are a small business owner, it’s worth considering whether they are good enough at keeping your organization sufficiently secure and compliant with necessary regulations. Our recommendation to clients, even if they are just a one-person shop, is to upgrade to a subscription-based Google Workspace. Really, it is a smart move and overall cost effective.

Centralized Administration

One of the biggest advantages of Google Workspace is the ability for business owners to centrally manage all user accounts. Instead of juggling multiple individual free accounts, you gain full control through a single admin console. This allows you to:

  • Create and delete accounts as employees join or leave your company.
  • Set custom access controls for different tools and data.
  • Grant or revoke admin privileges to other team members.
  • Apply different security configurations to various departments or “organizational units.”

This level of control is essential for maintaining order and security as your business grows. Even a “solo shop” may need to occasionally bring in a contractor or contract employee. Centrally managing these email addresses is essential.

Beyond user account management, Google Workspace also provides robust control over your company’s data. One of the most powerful features is Shared Drives, which replaces the chaotic individual file-sharing of free accounts. With Shared Drives, all files belong to the team, not just a single employee. This means if an employee leaves, their data doesn’t disappear; it remains accessible to the team, preventing the loss of critical information.

The admin console gives you granular control over who can access, edit, and share files within these drives. You can set permissions by user or by organizational unit, ensuring sensitive data is only seen by the right people. Additionally, Google Workspace allows for comprehensive data governance policies. You can configure data retention and archiving rules, ensuring that important business records are preserved for the required period, while automatically deleting non-essential data to reduce clutter and manage storage. This level of oversight provides peace of mind and simplifies compliance with data-related regulations.

Enhanced Security and Compliance

While free Gmail provides basic security, Google Workspace offers a much more robust and configurable security framework. This is crucial for businesses that handle sensitive data. Google’s infrastructure undergoes regular third-party audits to meet stringent security standards, which helps your business stay compliant with key industry regulations.

With Google Workspace, you can configure your environment to meet standards like HIPAA (Health Insurance Portability and Accountability Act), FedRAMP (Federal Risk and Authorization Management Program), and SOC (Service Organization Control) 1, 2, and 3.

One of the most powerful security features available in Google Workspace is the ability to enforce policies across your entire organization. For example, while free Gmail offers two-factor authentication (2FA) as an option, Workspace allows you to mandate it for every single user, including administrators. This simple step drastically reduces the risk of account takeover, as a stolen password alone is no longer enough for an attacker to gain access. Furthermore, you can set device-specific policies, such as requiring users to only access company data from approved, company-owned devices. This is crucial for limiting the risk of data leaks on personal or unsecured endpoints.

Google Workspace also provides advanced tools for monitoring user activity. The administrator can view detailed audit logs to track who has accessed, created, or shared sensitive files. This visibility is essential for both proactive security and post-incident investigation.

The platform also offers a robust ecosystem for third-party security tools that deeply integrate with Workspace’s core services. For example, tools like Spin.ai can provide automated backups, ransomware protection, and data loss prevention (DLP) that go beyond Google’s built-in capabilities, giving you a comprehensive security solution tailored to your business needs. These integrations are specifically designed to work within the Workspace framework, providing a seamless and powerful layer of protection.

Boosted Brand and Image

Beyond security, Google Workspace helps your business look more professional and established. Free Gmail accounts with the @gmail.com suffix can appear unprofessional to clients and partners. With Google Workspace, you can create custom business emails that use your company’s domain, like yourname@crimsonvista.com. This simple change significantly boosts your brand identity and credibility.

Additionally, you can create custom templates for Google Docs, Sheets, and Slides. This streamlines your team’s workflow and ensures all your internal and external documents have a consistent, professional look that aligns with your brand.

Choosing the Right Plan

Google offers several Workspace plans tailored for different business sizes. For companies with up to 300 users, there are three main editions starting at $7 per user per month. Larger organizations can contact Google’s sales department to inquire about the Enterprise plan.

Upgrading to Google Workspace is more than just a convenience, it’s an investment in your company’s security, efficiency, and professional reputation.
